Foxhams is committed to respecting and protecting the personal information of anyone who entrusts us with it, including our staff, customers, website and app users, advertisers, and other relevant individuals for administration, operational, or legal compliance purposes. Protecting this information is more than a legal requirement for Foxhams; it is a matter of trust, in line with our brand values. As a global business operating in a digitally connected environment, we adhere to applicable laws concerning data privacy.

Foxhams’s Data Protection Policy Our policy sets out the rules on data protection and the conditions that must generally be satisfied when obtaining, handling, processing, transferring, and storing Personal Data. It is applicable to all Foxhams staff and its associated entities. We expect our business partners, including contractors and contributors, to uphold the same high standards when working with or on behalf of Foxhams.

Definitions Personal Data encompasses any information about an individual, or from which an individual can be identified, whether directly or indirectly in combination with other information Foxhams holds. This includes Special Category Data.

Special Category Data refers to sensitive information, such as details about an individual's health or religious beliefs, that require a higher level of protection.

Data Processing involves the action of handling Personal Data, such as obtaining, editing, reviewing, storing, disclosing, transferring, and deleting it.

Principles The following principles are applicable, except where a specific lawful exemption applies:

  • Transparency: We are committed to being transparent about our privacy practices and ensuring that external and internal individuals can contact us with questions or concerns about data protection.

  • Minimization and Limitation: We strive to limit the collection and use of Personal Data to specific purpose(s) and ensure that it is adequate, relevant, and not excessive for the purpose(s) for which it was collected. Personal Data is only shared with those who have a legitimate need to know and whose access is appropriately authorised.

  • Accuracy: We take steps to ensure that Personal Data is accurate and, where necessary, kept up to date.

  • Storage Limitation: We retain Personal Data only as long as needed and in accordance with Foxhams policies.

  • Integrity and Confidentiality (Security): We ensure that Personal Data is protected by appropriate security measures, both technical and non-technical, whether in transit or at rest. We promptly report any actual or suspected unauthorised use, disclosure, or access to Personal Data to the Foxhams Cybersecurity team.

  • Privacy by Design and Default: We ensure that new systems and processes are designed with appropriate technical and organisational measures to implement the data protection principles and safeguard individual rights.

  • Accountability: We ensure that any third parties we engage to process Personal Data on our behalf have appropriate policies and practices in place, and that our contracts with them appropriately cover data protection.

  • Individual Rights: We adhere to individuals’ rights regarding their Personal Data, including rights of access, rectification, erasure, portability, and the ability to restrict or object to processing.
